Dear Asia Pac Chairs and Vice Chairs,
SINCERE APOLOGIES, first of all, for the disjointed process that we have taken to establishing a policy for executing and filing the database admin manager Confidentiality Agreements. This is the final instruction on what to do and when to do it. I will take down the posting on the A/P Leadership group that advises otherwise. I trust you will excuse the teething pains as the new RVCs climb the DA learning curve.
Please find the DA Confidentiality and Data Protection Agreement attached to his email. This document needs to be sent to everyone on your committee who currently has administrative rights to the database. Each person should print out the agreement, sign it and return it to Lindsey Reynolds no later than the June 7th.
As you know, the number of admins should be kept to as few as possible depending on your committee structure. They will probably include the Chair and either the Vice Chair or Secretary of your committee (depending on who is doing the administrative work). Chapter Chairs will also need to sign based on their access to chapter data bases. You will need to update the process as your committees add chapters or admins.
Signed original hard copies should be mailed from the person executing the document directly to Lindsey at the following address and received no later than June 7:

Country Chairs are requested to return a list of all individuals who have signed the Agreements and who currently have admin rights (an identical list) to me by June 1.
