Eligibility: All currently registered members of Democrats Abroad Canada who are members of the Kitchener-Waterloo Chapter are eligible per the Democrats Abroad Canada by laws. The catchment area for Democrats Abroad-Kitchener-Waterloo including Waterloo Region, Guelph, Stratford and outlying communities.

Board Meetings: Meetings occur monthly and can be attended either in person (when feasible) or remotely.
POSITIONS: The following positions are up for election:
Chapter Chair / Co-Chairs (up to 2)
The Chapter Chair/ Co-Chairs shall call and preside at all meetings of the Board, establish the agenda of such meetings, and shall be responsible for carrying out the programs, policies, and activities duly approved by the members and the Board. The Chapter Chair/ Co-Chairs shall have responsibility for the day-to-day activities of Democrats Abroad Kitchener-Waterloo and for execution of all activities approved and undertaken by the Board.
In accordance with Democrats Abroad rules about gender representation, the Chapter Chair/ Co-Chairs shall be different genders. The Chapter Chair/ Co-Chairs and Vice Chair, with the advice of the other Officers, may allocate among themselves the duties of the Chair. The Chapter Chair/ Co-Chairs or any Officer delegated by the Chapter Chair/ Co-Chairs to do so shall be entitled to sit on all ad hoc committees, with full voting privileges.
The Chapter Chair/ Co-Chairs shall also be responsible, jointly with the Treasurer, for oversight of DA-KW’s financial affairs, including but not limited to serving as one of the two required signing authorities on DA-KW’s bank account and ensuring regular reporting to the Board on DA-KW’s financial affairs.
The Chapter Chair/ Co-Chairs have full voting rights on the DA-KW Board. The Chapter Chair/ Co-Chairs are voting members of the Board of Democrats Abroad Canada (DACA) and Chapter Chair/ Co-Chairs or Vice Chair shall attend their monthly meetings.
The Vice Chair shall assist and support the Chapter Chair/ Co-Chairs in the execution of the Chapter Chair/ Co-Chairs duties and shall, in the absence of the Chapter Chair/ Co-Chairs call and preside at meetings of members and of the Board. The Vice Chair shall attend all Board meetings and has full voting rights on the DA-KW Board.
If the office of the Chapter Chair/ Co-Chairs shall become vacant, the Vice Chair shall assume the duties of the Chair. The Board shall appoint any replacement Officer necessary to carry out the duties of the Vice Chair provided that such person shall already be a duly elected and voting Officer-member of the Board.
The Vice Chair has full voting rights on the DA-KW Board and is a voting member of the DACA Board.
The Secretary shall attend and produce minutes for all General, Board, and Executive Committee meetings. The Secretary shall maintain all files and administrative records of the chapter. All such records shall be open for inspection by members. Minutes of all meetings shall be sent to the Board once approved by the Chapter Chair/ Co-Chairs and/or the Vice Chair. The Secretary shall schedule and coordinate participation of members for all Board meetings.
The Secretary has full voting rights on the DA-KW Board.
The Treasurer shall manage the finances of the chapter together with the Chapter Chair/ Co-Chairs, maintain its financial reports to members, and makes monthly reports as well as periodic budget and cash flow forecasts for approval by the Board. As well, the Treasurer makes and maintains such financial reports as may be required by law (including without limitation the laws and regulations of the United States applicable to political parties and contributions to them). The Treasurer shall have joint signature authority with the Chapter Chair/ Co-Chairs on all DA-KW bank accounts. All such records shall be available for review by the Board.
The Treasurer shall attend all Board meetings and prepare and present to the Annual General Meeting of Democrats Abroad K-W a Statement of Income and Expenses and a Balance Sheet based on a fiscal year ending December 31.
The Treasurer has full voting rights on the DA-KW Board.
The Membership Secretary, in consultation with the DACA IT Manager, maintains the DA-KW membership database by responding in a timely manner to member requests for changes, promoting new members and by using best practices to ensure data integrity, confidentiality, and accuracy. In coordination with the DACA IT Manager, the Membership Secretary participates in the annual DACA membership verification process. The Membership Secretary provides statistical information to the DA-KW Board as required and collaborates with other Chapters on membership issues and projects including the membership verification process. The Membership Secretary shall report monthly to the Board on matters related to DACA membership.
The Membership Secretary has full voting rights on the DA-KW Board.
Members-at-Large bring special gifts and talents to the chapter. Members-at-Large should attend all Board meetings and stay informed through general emails from Democrats Abroad. Members-at-Large support member engagement. Members-at-Large should include a diversity of individuals with various skill sets, such as database and technology proficiency, writing articles for the website, and writing or sending emails.
Member-at-Large - Events
The Member-at-Large - Events shall provide Board leadership in planning, organizing, and promoting events such as tax seminars, debate watches, voting centers, phone banking events, pub nights, round tables, movie nights, and speaker nights debates, speaker events, webinars, and social gatherings for membership engagement and development. The Member-at-Large - Events shall report monthly to the Board on their activities.
The Member-at-Large - Events has full voting rights on the DA-KW Board.
Member-at-Large - Communications & Member Outreach
The Member-at-Large - Communications & Member Outreach shall be responsible for designing, implementing and coordinating the communications activities of DA-KW, including the website, use of social media, and media communications. The Communications Officer will collaborate with the other Officers and other DACA members having appropriate skills and experience to assist in the implementation of a coordinated communications strategy at the Chapter level. The Member-at-Large - Communications & Member Outreach shall report to the Board monthly on activities undertaken and planned, and will collaborate with the Democrats Abroad Canada communications team, particularly regarding talking points on sensitive issues.

The Member-at-Large – University of Guelph DA Club represents the voice of University of Guelph students involved with the campus DA Club.

Nominations and Elections Committee Equity Statement
