Notice of Annual General Meeting and

Special Election

Democrats Abroad Luxembourg hereby gives notice that a Special Election for the offices of Chair and Vice Chair will be held at the upcoming Annual General Meeting (AGM).

All other officer positions shall continue through the remainder of their current two-year terms.

1. Offices Open for Election

• Chair

• Vice Chair

2. Eligibility

Any eligible member of Democrats Abroad Luxembourg may be nominated for office, in accordance with the DA Luxembourg bylaws and applicable Democrats Abroad rules.

The Nominations Committee shall confirm candidate eligibility in accordance with those rules.

3. Nominations

The following types of nominations are permitted:

• Self-nominations

• Nominations submitted by another member (with the nominee’s agreement)

Nominations shall be submitted by email to the Nominations Committee at:

We kindly request that nominations be submitted by 28 March 2026, where possible, to support election preparation and circulation of candidate information.

Each nomination should include:

• Full name of the nominee

• Office sought (Chair or Vice Chair)

• Confirmation that the nominee accepts the nomination

Members who cannot attend in person and do not already have a proxy may also contact the Nominations Committee for assistance in identifying an available proxy.

4. Candidate Statements

Advance nominees are encouraged to submit a candidate statement of approximately 300 words for circulation to the membership prior to the AGM.

Candidate statements received in advance will be distributed to members by email.

Candidates nominated from the floor will be provided an opportunity to introduce themselves during the AGM.

5. Gender Balance Requirement

Members are reminded that Democrats Abroad rules require gender balance in the election of Chair and Vice Chair. Accordingly, if one office is filled by a female candidate, the other office must be filled by a male or non-binary candidate, and vice versa.

6. Nominations from the Floor

Nominations from the floor shall be accepted at the AGM, in accordance with DA Luxembourg practice, the bylaws, and applicable Democrats Abroad rules.

7. Voting

Voting for this Special Election shall take place at the AGM.

Voting may be conducted only:

• In person (physical presence)

• By proxy (as permitted by the bylaws)

Voting shall not be conducted by online presence. Online/video participation is available solely for participation in the AGM and does not constitute voting.

No member may hold more than two (2) proxies.

8. Remote Meeting Access

Members who are traveling or otherwise unable to attend in person may contact the Nominations Committee in advance regarding remote meeting access (video participation), so that arrangements may be made where feasible.

9. Confidentiality

Personal information submitted in connection with nominations shall be handled by the Nominations Committee and treated confidentially for election administration purposes.

Members are strongly encouraged to participate and to submit nominations in a timely manner.
