Notice of Special Meeting for Bylaw Approval: Democrats Abroad Vancouver to Democrats Abroad British Columbia Mainland
Overview:
At our Annual General Meeting on Sunday, May 26, an official motion was approved by the members in attendance and the board to change our chapter's name to better reflect our true geographic coverage and enhance inclusivity for members across British Columbia, excluding the islands. We have since drafted the necessary bylaw amendments to reflect this new name and have made additional updates to modernize the language and ensure compliance with DACA requirements.
Purpose of Meeting:
To review and approve the proposed amendments to the DAC-BC Mainland Bylaws, following the decision to change our name from Democrats Abroad Vancouver to Democrats Abroad British Columbia Mainland (DA BC Mainland). These changes also aim to modernize and align our bylaws with Democrats Abroad Canada (DACA) requirements.

Process of Ratification:
- Motion to Change Name: This occurred at the AGM and is complete.
- Update Bylaws: Draft the necessary bylaw amendments to reflect the new name and make additional updates for modernization and compliance.
- Review Period: Members have 30 days and are encouraged to review the proposed bylaws changes before the special meeting. Links to the original, current, and proposed revised bylaws are provided above.

Special Meeting: A special meeting will be held on Tuesday, September 3 at 6:30 PM via Zoom. During this meeting, we will discuss the proposed changes, address any questions or concerns, and proceed to a vote.
- Quorum: For the special meeting to proceed and for the vote to be valid, a quorum of at least ten (10) members must be present either in person or by proxy.
- Voting: Approval of the revised bylaws requires a two-thirds (2/3) majority vote of the members present in person or represented by proxy at the meeting. Members who cannot attend the meeting in person may submit their votes via proxy.
- Submission to DACA: Upon approval by our members, the revised bylaws will be submitted to the DA Canada Board for final ratification.
- Implementation: Once ratified by DACA, the revised bylaws will take effect immediately and will govern the operations of DAC-BC Mainland moving forward.

We see this change as beneficial, increasing clarity, inclusivity, and enhancing member engagement throughout the province. We are excited about these changes and believe they will better represent our community. Your participation is crucial to ensure we reach the necessary quorum and move forward with these important updates.
Special Note: We do not have members on the islands; those members fall under the DA Victoria & The Islands chapter. Our activities are focused on the mainland, and we are committed to clear communication and ensuring our activities do not infringe upon the territories of other chapters.
How to Participate:
- Attend the Meeting: Join us via Zoom to participate in the discussion and vote.
- Submit a Proxy Vote: If you cannot attend the meeting, you may submit a proxy vote. Please identify who your proxy will be and send that information to Jennifer Phillips, Chapter Chair, no later than Saturday, August 31 at 6:30 PM PST.
